Innovation: Africa (iA) is a non-profit organization committed to bringing Israeli technologies to African villages. Over the past 15 years, it has completed more than 1000 solar and water projects, impacting over 5.2 million people across Ethiopia, Tanzania, Malawi, South Africa, Uganda, Cameroon, Senegal, and the Democratic Republic of Congo.


Job Summary

The Executive Assistant will work directly with the CEO of Innovation: Africa to assist in all daily tasks and meetings, ensuring smooth operations and helping the organization stay on track to achieve its goals and mission.

Responsibilities

  • Scheduling: Manage the CEO's calendar, including scheduling appointments, meetings, and travel arrangements.
  • Communication: Act as the point of contact between the CEO, employees, and external stakeholders, which may include screening and directing phone calls, emails, and other correspondence.
  • Document Preparation: Prepare reports, memos, letters, and other documents, which could include taking minutes during meetings and following up on action items.
  • Project Management: Oversee specific projects or initiatives as assigned by the CEO.
  • Research and Reporting: Conduct research, compile data, and prepare papers for consideration and presentation by the CEO.
  • Meeting Coordination: A key responsibility is managing the CEO’s calendar, including scheduling and organizing meetings and maintaining the smooth running of the week. This task requires prioritizing according to urgency and importance, and liaising with the team to assess their needs.
  • Take part in the CEO's meetings, keep track of discussions, and follow up on action items.
  • Keep track of and follow up on the CEO's requests, liaising with the team to ensure that projects and tasks are on track and completed in a timely manner.
  • Act as a liaison between the CEO and internal staff, facilitating effective communication and ensuring that important information is conveyed accurately and in a timely manner.
  • Correspondence: Manage all incoming and outgoing correspondence on behalf of the CEO.
  • Presentations: Organize and coordinate the logistics of the CEO’s presentations, including the content of the presentation, technical arrangements, and liaising with organizers to ensure successful presentations.
  • Trips Abroad: Plan and organize the CEO's trips abroad, which includes booking flights and hotels, scheduling meetings, and preparing necessary materials. 
  • Office Maintenance: Manage office upkeep by ensuring that necessary items and supplies are available and by addressing any office-related issues that may arise.


Qualifications

  • Native English speaker preferred
  • Strong time-management skills with the ability to organize and coordinate multiple concurrent projects
  • Exceptional interpersonal skills and the ability to build and maintain positive relationships with internal and external stakeholders 
  • High attention to detail and accuracy in preparing and proofreading documents • Ability to multitask


Compensation

Commensurate with experience. Health insurance and other benefits included.


Requirements/Other

This job requires regular travel to project sites in Africa.

As an international organization, our team is spread out between NY, Israel and Africa, and team members are constantly on the move. We strive to use technology solutions to keep our staff in close contact despite our travel schedules, and are all frequently on the phone, Zoom, Slack and more. This position requires the ability to keep up with this fast-paced environment, and to be comfortable working with colleagues across time zones and continents.
